Text Templates

Typing the same sentences over and over — for medical histories, therapy recommendations, medication instructions, or standard messages? Text templates take care of exactly that. You write the content once, save it as a template, and then insert it into any text field in TheraTap with just two clicks. This saves you several minutes per treatment and ensures that your entire team documents with the same quality.

  1. Open text templates

    Navigate to Settings > Text Templates and click + New Text Template.

  2. Assign a title

    Enter a short, descriptive title — e.g., “Standard Medical History Horse” or “Aftercare Chiropractic”. The title helps you find it quickly later.

  3. Assign a category

    Assign the template to one of the 13 categories so it is organized by topic:

  4. Write the content

    Write the template in the rich text editor. All formatting options are available:

    • Bold and italic for emphasis
    • Strikethrough for outdated information
    • Bullet and numbered lists for step-by-step instructions
    • Tables for clear presentations (e.g., medication schedules)
  5. Save

    Click Save. The template is immediately available to all team members — everywhere in TheraTap.


Inserting works the same everywhere — whether in the assessment, in the therapy plan, or in a message:

  1. Click the template button

    In every text field, you will find the Text template button (document icon). One click opens the template selection as a popup.

  2. Filter and search

    In the popup, you see all available templates. To find the right one quickly:

    • Filter by category: Click one of the category buttons at the top to show only templates of that category.
    • Full-text search: Type a search term — the search scans both the title and the content of all templates in real time.
  3. Select a template

    Click the desired template. The content is immediately inserted at the current cursor position in your text field — with all formatting.


Under Settings > Text Templates, you have a complete overview:

Every change takes effect immediately for the entire team. When you update a template, everyone works with the new version from that moment on.


Text templates are automatically cached on your device. This means: even in offline mode — e.g., in the stable without mobile reception — you can access all your templates and insert them as usual. As soon as you are back online, new or modified templates are automatically synchronized.


  • Standardize your team: Agree together on which templates are needed for your most common treatments. This ensures everyone on the team documents at the same level.
  • Use categories consistently: The better you categorize templates, the faster you will find them in daily practice.
  • Combine with the AI voice function: Dictate individual findings via the AI voice function and supplement them with text templates for standard sections — this produces a complete report in record time.
  • Short + long: Keep frequently used sentences as short templates (e.g., “No abnormalities in the gait analysis”) and build comprehensive templates for initial medical histories or therapy plans.

Can all team members create text templates? Yes. Every team member can create, edit, and delete templates. All templates are automatically visible to the entire team.

Are existing treatments changed when I update a template? No. A text template is copied into the text field when inserted. Later changes to the template only affect future insertions.

How many text templates can I create? There is no upper limit. Create as many templates as you need.

Do text templates work on smartphones? Yes. The template selection is optimized for all screen sizes — including search and category filters.
