Practice Settings & General Configuration

Under Settings, you fully customize TheraTap to your practice — from the address on your documents to the appearance of your reports, email templates, and booking rules. Most settings are configured once, and you benefit from them throughout your daily workflow.

Here you manage your personal user data — name, email address, and profile picture. These details only apply to your user account, not the practice itself. If you no longer need your account, you can also delete it here.

Change your password at any time under Settings → Security. Enter your current password, set a new one, and confirm it.


The practice data is the heart of your settings. Name, address, phone number, and contact email automatically appear on:

Everything that pet owners see about your practice — description, services, specializations, opening hours, and more. You can list your practice in the TheraTap directory and display it on a map. You also store links to your privacy policy and terms of service here.

Upload an A4 letterhead as a JPG or PNG — via drag and drop or the file dialog. Your letterhead is used as the background in all contracts, PDFs, and documents, giving your entire communication a consistent, professional appearance.

Here you design the appearance of your assessments and reports:

  • Assessment colors — Define which colors are used for comments, blockages, and various tension levels on the animal model. Colors are set via a color picker and saved automatically.
  • Report layout — Choose from four layout variants for how anamnesis tables and assessment data are arranged in your PDF reports (full width or two columns, below the tables or at the end).

Edit the texts of all automatic emails that TheraTap sends on your behalf:

Each template has a rich text editor and you can insert variables with a click — e.g., the pet owner’s name, the date, or the practice name. This keeps every email personal without having to manually customize it each time. If you ever want to start over, default templates can be restored with one click.

Enable SMS notifications and set a sender name (max. 10 characters). Like emails, templates are available for appointment reminders, confirmations, cancellations, and more. A character counter shows you in real time how many SMS messages a text will consume (160 characters per SMS). SMS is billed via TheraToken.

Create reusable text blocks for treatments, anamneses, and contracts. Each snippet has a title, a category, and formatted content. In the treatment view, you insert text snippets into any field with a click — ideal for recurring phrases like therapy recommendations or standard assessments.

Determine which fields are displayed in the anamnesis and in which order. You can create custom fields, name them, and sort them via drag and drop. This way, you tailor the assessment exactly to your workflow and specialty.

Manage practice-wide standard documents — e.g., consent forms, information sheets, or templates. Upload files via drag and drop (PDF, Word, Excel, images, and more), add a name, description, and category, and find them at any time using search or the category filter.


Control how pet owners book appointments with you:

Define for each day of the week when you are available for bookings. You can set multiple time slots per day (e.g., morning and afternoon) and choose a slot duration (15, 30, 45, or 60 minutes) for each. Details can be found under Working hours.

Enter vacations, training sessions, sick days, or other absences. There are three types:

  • Full day — e.g., a vacation day
  • Time range — e.g., unavailable only in the morning
  • Recurring — e.g., every Wednesday afternoon off, limited to a time period

Define the services that pet owners can book online — each with a name, duration, price, and optional description. Inactive treatment types are hidden from the booking page but remain available for internal use. Details under Treatment types.

In team practices, you can set up therapists as resources — each with their own color, working hours, and skills (which treatment types they offer). Rooms and equipment are automatically considered during booking, preventing double bookings.

Embed the TheraTap booking calendar directly on your own website. Three variants are available — as a custom element, as a div container, or as an iframe. Copy the embed code with one click.


Choose whether to create invoices directly in TheraTap or work with lexoffice:

  • TheraTap invoices — Store your tax number, VAT ID, bank details, and invoice number scheme. Customize the invoice color to match your corporate design and decide whether to work with net or gross prices. The small business regulation is supported.
  • lexoffice integration — Connect TheraTap with your lexoffice account via an API key. Treatments are transferred as invoice drafts. You can customize the invoice title, introduction, and closing text individually.

Create items that you can use on invoices — as a service or product. Each item has a price, tax rate, unit, and an optional description.

Manage your TheraTap plan and see at a glance which features are included in your current plan.

TheraToken is your credit for SMS notifications. You can see your current balance, purchase tokens via Stripe, and keep track of consumption. One SMS with up to 160 characters costs 1 TheraToken.


Add team members to your practice and assign them roles with different permissions. As the practice owner, you can invite members, change roles, and remove access.
