Email Sending

With the integrated email sending feature in TheraTap, you can send assessment forms, medical histories, therapy plans, and other documents directly from the software — without an external email client. Professional templates ensure a consistent appearance.

  1. Open the email composer

    You can open the email composer from various places:

    • From the contact view — email directly to the contact
    • From the patient record — email related to the patient
    • From an assessment — attach the assessment PDF
    • From a therapy plan — send the plan directly
  2. Select recipients

    Search for contacts or patients using the search field, or enter an email address manually. You can add multiple recipients in the To, CC, and BCC fields.

  3. Subject and content

    Enter a meaningful subject line and compose your message in the editor. If you want to use a template, select one from the template dropdown.

  4. Add attachments

    In the sidebar of the composer, you will find various tabs for attaching files:

    • Media — images, videos, and files of the patient
    • Documents — contracts and other documents
    • Assessments — treatment reports as PDF
    • Invoices — invoice documents
    • Therapy plans — created therapy plans as PDF

    Additionally, you can upload your own files directly via the upload area.

  5. Send

    Click Send. You will receive a confirmation of the successful delivery. When sending to multiple recipients, the status is displayed individually for each one.


Under Settings > Templates, you can create and manage email templates:

  • Subject template — pre-defined subject line
  • Content template — formatted email body with placeholders
  • Variables — automatic replacement of contact and patient data

When sending, you select the desired template, and the placeholders are automatically filled with the current data.


  • Send an assessment directly: After saving an assessment, you can send the PDF directly to the pet owner or veterinary practice via the email composer.
  • Multiple attachments: You can combine any number of attachments from different categories.
  • CC to veterinarian: Use the CC field to inform the attending veterinarian at the same time.
