Preventive Care & Reminders

TheraTap helps you keep track of your patients’ preventive care measures. Manage check-ups, vaccinations, deworming, and other regular measures directly in the patient record — with automatic reminder emails to pet owners.

Automatic Reminders

Pet owners receive a timely email when the next preventive care measure is due.

Species-Specific

Appropriate measures per animal species — from vaccinations and deworming to farrier visits and saddle checks.

Overdue Measures

Overdue appointments are highlighted in red so nothing slips through.

Flexible Intervals

Fixed rhythms from weekly to yearly — or a custom date for the next check-up appointment.

For each patient, you can create as many preventive care measures as needed. Each measure contains:

  • Type of measure — e.g., vaccination, deworming, check-up
  • Last date — When the measure was last performed
  • Interval — How often the measure should be repeated — or Custom with a fixed appointment date
  • Next date — Calculated automatically or set by you when using the Custom interval
  • Email reminder — Optional automatic notification to the pet owner
  • Notes — Additional remarks

Depending on the animal species, different preventive care categories are available:

Measure Horse Dog Cat
Check-up
Vaccination
Blood Work
Dental Cleaning
Nail Trimming
Flea Protection
Heartworm Test
Hip X-ray
Anal Glands
Deworming
Farrier
Dentist
Saddle Check
Parasite Test

  1. Open the patient record

Navigate to the patient record and switch to the Preventive Care section.

  2. Create a new measure

Click + New Preventive Care Measure and select:

    • Type — From the list of available measures
    • Last date — When the measure was last performed
    • Interval — Repeat period (e.g., every 3 months, semi-annually, annually) or Custom for a specific check-up date
    • Next date — When using Custom, pick the date of the next appointment here
  3. Activate reminder (optional)

Check the box for Email Reminder so the pet owner is automatically notified when the next measure is due.

  4. Save

The measure appears in the patient record timeline. With fixed intervals, TheraTap calculates the next date from the last date plus the interval. With Custom, the date you choose applies.

The following repeat intervals are available:

Interval Period
Custom You pick a fixed date for the next appointment — ideal for check-ups without a regular rhythm
Weekly 7 days
Biweekly 14 days
Monthly 31 days
Quarterly 93 days
Semi-annually 186 days
Annually 372 days

Measures whose next date is in the past are highlighted in red. In the patient record, you can see at a glance which preventive care measures are overdue.

If you have activated the email reminder for a measure, the pet owner automatically receives a personalized email one week before the next appointment. This applies to both fixed intervals and custom dates. The email contains:

  • Name of the animal
  • Type of measure
  • Recommended appointment date

This helps you retain your clients long-term and ensure the best possible care.

Your dashboard features an Upcoming Preventive Care tile that lists every measure due soon or already overdue – across your whole practice. Right after logging in you see what needs attention, without opening each patient record individually.

  • Time window: Shows all overdue measures plus everything due within the next 30 days.
  • Sorting: The most urgent entries appear first – overdue ones at the top.
  • Status at a glance: A colored label shows “Overdue”, “Due today”, or “in X days”. Overdue measures are highlighted in red.
  • Details on click: Click an entry to see the animal, last date, next date, interval, and notes in a dialog – with a direct link to the patient record.
  • Show all: The link opens the Follow-up page – your filterable overview for reaching out to pet owners in a targeted way.
