Appointment proposal

With an appointment proposal you don’t book a fixed appointment, you suggest one. The pet owner gets an email with a Confirm appointment button, completes their details and those of the animal if needed, and confirms. Until then the time slot stays reserved in your calendar.

---

Sending a proposal

1. Create a new appointment

Click a free slot in the calendar and switch to the Proposal tab at the top.

2. Choose the customer

A proposal is sent by email, so you need a contact with an email address. If it’s missing, you can add it right in the form.

3. Validity and message

Valid until sets how long the proposal stays open. Without a date it’s valid until the appointment, but at most seven days. A message to the customer appears in the email.

4. Send appointment proposal

The appointment shows up in the calendar marked Proposal and blocks the slot.

What the pet owner can do

Action	What happens
Confirm appointment	The appointment becomes fixed. Contact and animal details are saved, and the consent to terms and privacy (and the treatment contract, if any) is recorded. The pet owner gets the appointment confirmation, you get a notification.
Decline	The slot becomes free again. You get notified, including the reason if one was given.
Do nothing	Once the validity ends, the proposal expires and the slot becomes free again.

Managing the proposal in the appointment

When you open a proposed appointment, the Appointment proposal sent box at the top shows when it was sent and how long it’s valid. There you can:

Action	What for
Mark as confirmed	The pet owner agreed, for example on the phone. The appointment becomes fixed and the proposal link no longer works.
Send again	Send the proposal email again.
Copy link	Copy the confirmation link, e.g. for WhatsApp or SMS.
Withdraw proposal	The proposal becomes invalid and the slot is free again.

Agreed on the phone

When marking it as confirmed, a checkbox decides whether the pet owner gets the regular appointment confirmation by email. Since nothing was confirmed online, no consent to terms, privacy or treatment contract is recorded. Collect these separately if needed.
