Email log

You send assessments, invoices, and reminders by email regularly – but which email went to whom, and when? The new email log answers that centrally in the contact and patient record. It’s an internal read-only mailbox: not a second mail client, but a reliable log of what was sent (and to a limited extent received) through TheraTap.

Assessments, invoices, therapy plans, and documents show a checkmark icon with the date – clickable to open the original email.

Logged automatically

Composer emails and system notifications are recorded without an extra step.


  1. Open a contact or patient

    Go to Contacts or Patients and open the desired record.

  2. Select the “Emails” tab

    Next to Overview, Comments, Appointments, and other tabs you’ll find Emails – with an envelope icon.

  3. Scroll through the timeline

    Each row shows date, subject, snippet, direction (← inbound / → outbound), and status.

  4. Open the detail view

    Click an entry to see the full email: sender/recipient, content, and – for outbound messages – attachments (e.g. assessment PDF, invoice).


TheraTap stores for each sent email:

  • Subject and full content (HTML/text)
  • Recipient (one row per recipient when multiple people were emailed)
  • Attachment references (name, type, size)
  • Source – e.g. manual composer, appointment confirmation, assessment delivery, birthday reminder
  • Link to the source entity (assessment, invoice, therapy plan, document) when attached at send time

Emails sent directly to your TheraTap practice address (slug@theratap.email) also appear in the tab – but as plain text only, without HTML or attachments.

Status is updated via Mailgun events. With multiple recipients, you see status per recipient.


Alongside the tab, relevant places show a checkmark icon (circle with check) and the text Sent on [date] – in indigo, next to the entry:

When an email exists in the log, the icon and text are clickable (underlined on hover) and open the email detail view. Older sends before this update still show the icon and date, but without a link to the log.

If nothing has been sent yet and the view shows the empty state, you’ll see the gray hint Not sent yet instead – without an icon.


  • Invoice follow-up: Quickly check whether and when the invoice was sent – including the PDF attachment in the detail view.
  • Assessment proof: Pet owner asks about the report – you see date, status, and content at a glance.
  • Team handover: A colleague takes over a case and reads previous email communication in the record.
  • Spot delivery issues: See “Failed” status or missing delivery early and correct the address.

Email content is personal data. When a contact or patient is deleted, related log entries are deleted as well. Open/click tracking is subject to usual privacy requirements – TheraTap records these events only when delivered via Mailgun.
