Follow-up – Win Patients Back

Follow-up is your central retention and reactivation list: it gathers every animal where reaching out to the pet owner pays off – due preventive care, long-unseen patients or missing follow-up appointments. So you actively win clients back instead of waiting.

You’ll find Follow-up in the main navigation. The dashboard tile Upcoming Preventive Care also links there via Show all.


Preventive care

Overdue and soon-due measures (vaccination, deworming, check-up …).

Inactive

Animals whose last visit was long ago and who have no upcoming appointment.

No follow-up

Recently treated, but no next appointment in the calendar.

First visit

Animals with a single treatment who never returned.


At the top of the page you switch between four segments. The number on each tab shows how many animals are currently affected.

  • Preventive care – All overdue plus measures due within the next 30 days (expandable up to 90 days in the tab). Overdue ones are highlighted in red.
  • Inactive – Animals whose last visit (appointment or treatment) was more than 6 months ago and who have no upcoming appointment. The ideal “we haven’t seen you in a while” trigger.
  • No follow-up – Animals treated within the last 90 days but with no upcoming appointment → offer a follow-up.
  • First visit – Animals with exactly one treatment, longer ago and without a follow-up → prevent early churn.

The filters help you narrow the list down to exactly the animals you want to reach:

  • Status / time window (preventive only): overdue, this week, 30 or 90 days.
  • Animal type: dog, cat, horse.
  • Measure (preventive only): filter by type of preventive care.
  • With contact details only: hides animals whose owner has neither email nor phone on file.
  • Search: by animal or owner name.

The list is loaded page by page – Recall stays fast even with several thousand patients.


Every row offers direct actions:

  1. Write email

    Opens the TheraTap mail composer with the pet owner as recipient and the relevant animal in context – you only need to add your text.

  2. Call

    On mobile devices, starts a call to the stored number right away.

  3. Open patient record

    Jumps to the animal’s full record. The owner’s name links to their contact page.


Via Export CSV you download the entire filtered list of the active segment as a CSV – including animal, owner, email and phone. Ideal for mail merges, call lists or analysis in Excel.
