Add a calendar via link (Apple, Outlook)

Do you use Apple Calendar (iCloud) or Outlook for your private appointments? Add that calendar to TheraTap via link. Its events block your time in the calendar and in online booking – so nobody books you while you already have plans.

This works with any calendar that can be published as an ICS link (starts with webcal:// or https://). For Google there is the direct Google Calendar connection, which also writes the other way.

Apple (iCloud) – on iPhone, Mac or at icloud.com:

  1. Open the Calendar app and tap Share on the calendar (iPhone: ⓘ next to the calendar).
  2. Turn on Public Calendar.
  3. Share Link → Copy.

This only works with iCloud calendars, not with calendars “On My Mac”.

Outlook (Outlook.com and Microsoft 365) – in the browser at outlook.com or outlook.office.com:

  1. Settings (gear) → Calendar → Shared calendars.
  2. Under Publish a calendar, pick the calendar and choose Can view when I’m busy (or all details) → Publish.
  3. Copy the ICS link.

For work accounts (Microsoft 365), your IT must allow publishing.

  1. In the calendar, open Connect calendars …, or go to Settings → Integrations, section Calendar via link.
  2. Add calendar via link → give it a name (e.g. “iCloud personal”) and paste the link.
  3. Add – TheraTap fetches the calendar right away. If it can’t be read, you’ll see a note at the field.

The calendar belongs to the person who adds it and first imports events as “Busy” only. Owners and admins can assign it to another person or the whole practice.

Setting Options
Assigned to A person (events block their time) or the whole practice
Import as Only as “Busy” (no details) or full (title and description)

  • Recurring events arrive as individual events – including exceptions and moved occurrences.
  • Events marked as “free”/“available” or cancelled are not imported. Events marked as private always arrive as “Busy”.
  • Imported events are internal and read-only – change them in Apple or Outlook.
  • TheraTap syncs every 15 minutes. Apple and Outlook update the published calendar with some delay themselves, Outlook sometimes only after a while.
  • It works one way only. Get your TheraTap appointments into Apple or Outlook via the calendar subscription – imported events don’t show up there twice.

If a link stops working (e.g. publishing was stopped), TheraTap shows Unreachable on the calendar. Events imported so far stay until you remove the calendar. Remove deletes them immediately.
