Importing contacts and animals

Switching from another program or keeping your clients in a spreadsheet so far? The import brings contacts and animals into TheraTap in one go. You don’t need to restructure your spreadsheet: TheraTap recognizes the columns, shows you every row before saving and tells you what it can’t use.

  1. Open the import

Go to Contacts or Animals, open the ⋯ menu at the top right and choose Import (CSV, Excel).

  2. Drop or paste your spreadsheet

Drag a file into the window (CSV, Excel XLSX/XLS or ODS up to 10 MB). Or select the rows directly in Excel, Numbers or Google Sheets, copy them and paste with ⌘V or Ctrl+V. It’s best to copy the headings too.

  3. Match columns

TheraTap matches each column to a field by its heading – “Postcode”, “City”, “Phone” or “Owner” are recognized. Check the suggestions; next to each column you see three sample values. Set columns you don’t need (e.g. a customer number) to Don’t import. If a name sits in one column (“Anna Example” or “Example, Anna”), choose Full name – TheraTap splits it.

  4. Review and fix

You now see every row with its result:

    • Errors (e.g. no name): enter the missing value right in the row or leave the row out.
    • Notes: anything that can’t be used – such as an invalid email address or an unreadable date – is added to the notes so nothing gets lost.
    • Duplicates: if the contact or animal already exists, the row is skipped by default. Switch it on if you want to create it anyway.
  5. Import

Click Import … to create all rows that are switched on. If something goes wrong, nothing is saved – you can simply repeat the import.

When importing animals you can also match owner columns (name, email, phone). TheraTap first looks for an existing contact with the same email address, then with the same name, and links the animal there. A new contact is only created if there’s no match. The review shows for every animal who it will be assigned to.

  • Excel exports with semicolons and old Windows encoding (umlauts are kept)
  • Dates as Excel dates, 02.06.2018 or 2018-06-02
  • Numbers with units such as “28.5 kg” or “4 years”
  • Species and sex in German and English, e.g. horse, dog, mare, gelding, stallion
  • Countries as a name (“Austria”) or code (“AT”)
  • Empty rows are skipped
