Item Catalog

The item catalog is your personal directory of services and products. Once created, you can add items to any invoice with a single click — price, tax rate, and description are automatically applied. This saves time and ensures consistent invoices.

Services & Products

Two item types: services for treatments and consultations, products for consumables and supplies.

Quick Insert

Add items to an invoice with one click — name, price, tax rate, and unit are filled in automatically.

Custom Pricing

Set unit price, tax rate, and unit per item. You can still adjust them individually on each invoice.

Flexible Management

Sort, deactivate, or edit items at any time. Existing invoices remain unchanged.

  1. Open item management

    Navigate to Settings → Items.

  2. Create a new item

Click + New Item and fill in the details.

  3. Choose a type

    • Service — For treatments, consultations, and therapeutic procedures
    • Product — For physical goods, supplies, or consumables
    • Bundle — For fixed combinations of several services and products, e.g. an initial treatment with assessment, treatment and consumables (see Bundles)
  4. Enter details

    Field Description
Name Short label (appears on the invoice)
Description Optional additional info for the invoice line item
Detailed description Extended explanation (e.g., for service documentation)
    Unit price Price per unit
Tax rate VAT rate (automatically pre-filled)
Unit e.g., piece, hour, session, treatment
  5. Save

The item is immediately available for selection in every new invoice.

When creating an invoice, you can insert line items directly from the item catalog:

  1. Click Add line item on the invoice
  2. Select From item catalog
  3. Choose the desired item
  4. Name, price, tax rate, and unit are automatically applied
  5. Adjust quantity or price individually as needed

Some services always consist of the same building blocks: an initial treatment, for example, includes the assessment, the treatment itself and a few consumables. Instead of clicking these lines into the invoice one by one every time, you create them once as a bundle.

A bundle is a third item type next to service and product. It has no price and no tax rate of its own — it is a collection of lines with quantities.

  1. Create the bundle

Under Settings → Items, create a new item and choose the type Bundle.

  2. Assemble the included items

Use Add item to add the desired services and products and enter a quantity for each, e.g. 1 × Initial assessment, 1 × Physiotherapy treatment, 2 × Kinesio tape. The total of all lines is shown below the list.

  3. Save

The bundle appears in the item picker of the invoice and in the appointment cockpit — recognizable by the Bundle badge and the number of included lines.

When you insert a bundle into an invoice, it is automatically expanded into its individual lines — each with its own price, tax rate and unit from the catalog. Your clients therefore see the individual services and products, not the bundle itself. Afterwards you can adjust or remove each line as usual.

  • Edit — Open an item to change its name, price, or description. Changes only affect future invoices.
  • Deactivate — Set an item to inactive if you no longer need it. It disappears from the selection list but is preserved in existing invoices.
  • Duplicate — No need to retype similar items: Duplicate creates a copy with all details (for packages including their components). The copy appears right below the original and opens straight away for editing — adjust the name and differences, save, done.
  • Reorder by drag & drop — Grab an item by the handle (⠿) at the left of the row and drag it to the desired position. The order also applies to the item picker in invoices, so put the most frequently used ones at the top. With the keyboard: focus the handle and move it with ↑/↓; on tablets and phones there are arrow buttons.
  • Delete — Permanently remove items that are no longer needed.
